1. Why Use a Notary?

You may require a notary because your document is intended for use overseas. A notary public ensures that documents are properly executed, legally recognised in foreign jurisdictions, and meet relevant international and legal standards. This helps reduce fraud and ensures that official bodies trust the authenticity of the document.

Appointments are usually conducted online, but in-person, home, or office visits may be arranged subject to availability and may incur additional fees. If we are unable to assist, we will direct you to another qualified notary.

2. Signature Requirements

Please do not sign any documents in advance.
Your signature must be witnessed by the notary at the time of the appointment, whether online or in person.


3. Documents to Provide in Advance

To ensure a smooth process, please send the following in advance via email or upload through our online system:

  • The documents requiring notarisation

  • Any related instructions or correspondence

  • A copy of your identification (see Section 4)

 

4. Identification Requirements

You must provide original and valid identification. Acceptable forms include:

Primary ID (one of the following):

  • Current passport

  • Current photo driving licence

  • National identity card

If none of the above are available, provide two of the following:

  • Government-issued ID with photo

  • Utility bill, bank statement, or council tax bill (dated within the past 3 months)

You may also be asked to provide name change documentation such as a marriage certificate, deed poll, or statutory declaration.

5. Proof of Name

If the name on your ID differs from that on the document, you must supply evidence explaining the discrepancy (e.g., birth certificate, marriage certificate, deed poll).

6. Advice on Documents

We can guide you on the notarial formalities required. However, we do not offer legal or transactional advice on the content or effect of the documents.

7. Translations

If your document is in a language you do not fully understand:

  • A certified translation will be required.

  • You may arrange this independently or request a quote from us. Additional fees apply.


8. Interpreters

If language barriers exist, a professional interpreter may need to attend your appointment. This will be at your own cost.

9. Company or Organisation Documents

If signing on behalf of a business, charity, or organisation, we will require additional information:

  • Proof of authority to sign (e.g., board resolution, Power of Attorney)

  • Certificate of incorporation and a list of directors or trustees

Please contact us in advance to clarify your requirements.

10. Fees & Expenses

Standard Services: Fixed-fee pricing is available for simple notarial tasks and includes basic disbursements.
Complex Matters: Charged at £540 per hour (plus VAT and disbursements), which includes preparation, consultation, and record-keeping.

Payment may be required in advance for third-party services such as legalisation or courier deliveries. All fees are payable upon completion of the notarial service.

11. The Notarial Process

Typical stages in the notarial process include:

  • Reviewing the document and client instructions

  • Verifying identity and authority

  • Witnessing signatures and preparing notarial certificates

  • Arranging legalisation or apostille (if required)

  • Storing notarial records in compliance with regulations


12. Data Protection

We maintain your personal information and notarial records in accordance with the Data Protection Act 2018 and our Privacy Policy. Your data is used strictly for professional purposes and is securely stored.


13. Professional Insurance

We maintain Professional Indemnity Insurance with a minimum cover of £1,000,000 per claim, in line with industry requirements.


14. Termination & Cancellation

By You: You may cancel your instructions at any time with reasonable notice. Any work already completed will be charged.
By Us: We may terminate services if you fail to cooperate, provide misleading information, or fail to pay fees.

Under the Consumer Contracts Regulations 2013, you have the right to cancel within 14 days of entering into a contract. If you request us to begin work during this period, we may charge you for the services provided up to cancellation.


15. Complaints

If you are dissatisfied with any aspect of our service, please contact us directly in the first instance at info@onlinenotarypublic.co.uk.
